About the Role

The Fulfillment Supervisor will oversee a team of Fulfillment Specialists responsible for ensuring accurate, timely, and high-quality execution of onboarding and configuration activities. This role is best suited for an experienced people leader who thrives in operational environments, has a proven track record of leading teams to excellence, and brings a detail-oriented, process-driven approach. You will manage and coach Fulfillment Specialists, guide daily workflows, and ensure that all deliverables meet the accuracy and quality standards necessary to support property management partners and vendor integrations.


Key Responsibilities

Team Leadership & Oversight

  • Lead, coach, and develop a team of Fulfillment Specialists responsible for Property Management Software integrations, onboarding, and collateral fulfillment.

  • Set performance expectations, provide regular feedback, and foster a culture of accountability, collaboration, and continuous improvement.

  • Monitor team workload and reallocate resources to balance priorities and meet deadlines.

  • Drive team engagement through clear communication, recognition, and professional development.

Operational Excellence

  • Oversee daily fulfillment processes, ensuring accuracy, timeliness, and adherence to standards.

  • Review and approve complex configurations, collateral packages, and reporting deliverables.

  • Establish and maintain SOPs, quality benchmarks, and audit practices to minimize errors and maximize efficiency.

  • Partner with leadership to identify process improvements and implement scalable solutions.

Cross-Functional Collaboration

  • Serve as a key liaison between Fulfillment, Implementation, Data Management, and Vendor Partners.

  • Align fulfillment timelines and deliverables with broader client onboarding and serviceability projects.

  • Escalate issues proactively and work with internal partners to resolve challenges that impact client or vendor experience.

Reporting & Analytics

  • Track team KPIs and fulfillment SLAs, providing visibility into productivity, quality, and overall performance.

  • Conduct root cause analysis on errors, rework, or delays, and develop corrective action plans.

  • Deliver regular performance updates to the Fulfillment and Data Manager and senior stakeholders.

Success Metrics

  • The team consistently delivers accurate, timely, and high-quality fulfillment work.

  • Workload and resources are well-balanced to meet priorities and deadlines.

  • Team members are engaged, supported, and growing through clear expectations, feedback, and development.

  • Processes and SOPs are established, followed, and continuously improved for efficiency and scalability.

  • Cross-functional partners have confidence in fulfillment deliverables and timelines through proactive communication and collaboration.

  • Performance metrics and reporting provide clear visibility into team productivity, quality, and outcomes.

About you

  • 4+ years of experience in fulfillment, operations, or implementation, including 2+ years in a people leadership role.

  • Demonstrated ability to manage, mentor, and develop high-performing teams.

  • Strong operational acumen with proven experience in process optimization and quality control.

  • Familiarity with Salesforce (SFDC) or similar CRM systems.

  • Experience working with Property Accounting Systems (PAS) such as AppFolio, Rentvine, Yardi, or Buildium strongly preferred.

  • Skilled in data handling, reporting, and error resolution (CSV, Excel, or similar tools).

  • Exceptional organizational skills with the ability to manage multiple projects simultaneously.

  • Excellent written and verbal communication skills.

  • Self-starter with a growth mindset who thrives in fast-paced, evolving environments.
